Acceptable Use Policy

1. General Scope

This Acceptable Use Policy ("AUP") governs all email communications, API calls, and notification deliveries processed through the GracyRein Florida platform ("Platform"). It applies to every user account, regardless of subscription tier.

The Platform is a B2B and B2B-to-B2C vacation rental management tool. Access is limited to:

  • Property managers and their authorized staff
  • Property owners with signed management agreements
  • Guests with confirmed, active reservations

All outbound communications pass through our infrastructure. By using the Platform, you agree to this AUP in full.

2. Nature of Allowable Traffic

The Platform is designed exclusively for transactional and system-generated notifications. The following message types are permitted:

  • Booking confirmations and modification acknowledgments
  • Check-in instructions (including access codes and property directions)
  • Checkout reminders and late-checkout alerts
  • Cleaning crew dispatch assignments and completion confirmations
  • Maintenance ticket creation, updates, and resolution notices
  • Owner daily revenue summaries and occupancy reports
  • Account security alerts (login notifications, password resets, MFA codes)
  • Billing receipts, subscription invoices, and payment failure notices
  • Platform maintenance and scheduled downtime warnings

The following are strictly prohibited:

  • Marketing emails, promotional offers, or discount campaigns
  • Newsletters, editorial content, or brand announcements
  • Cold outreach to individuals without an existing business relationship
  • Affiliate or referral solicitations
  • Any communication that could be classified as a "commercial electronic message" under CAN-SPAM, CASL, or equivalent legislation — unless it is purely transactional

3. Consent & Opt-In Requirements

Every recipient of Platform notifications must have provided consent through one of the following mechanisms:

  • Platform Registration: Staff and managers accept the Terms of Service and this AUP during account creation, which includes agreement to receive operational notifications
  • Booking Confirmation: Guests consent to receive reservation-related communications when they complete a booking through any connected channel or direct-booking engine
  • Management Agreement: Property owners consent to receive financial and operational reports as part of their signed management contract

Prohibited consent practices:

  • We do not purchase, rent, scrape, or harvest email lists — ever
  • Pre-checked consent boxes are not used
  • Recipients must always have a genuine business relationship with the Client

Consent records are retained for a minimum of three (3) years and are available for audit upon request.

Users may manage their notification preferences via our Notification Preferences center. Essential transactional notifications (security alerts, billing confirmations, and critical service status updates) cannot be fully disabled because they are required for account security and contractual obligations. Optional operational updates (e.g., daily summary emails, non-critical reports) may be turned off at the recipient's discretion.

4. Zero Tolerance Spam Policy

GracyRein enforces a zero-tolerance spam policy. Violations trigger immediate action:

Complaint Rate > 0.1% Immediate suspension + investigation
Bounce Rate > 5% Sending paused, account review, potential suspension
Spam Trap Hit Any Immediate suspension + mandatory remediation

Additional enforcement measures:

  • Feedback loops (FBLs) monitored for all major ISPs in real time
  • All messages include List-Unsubscribe headers (RFC 8058 / One-Click Unsubscribe)
  • Suppression list checked against every outbound message before delivery
  • Per-account and per-template sending rate limits enforced

5. Prohibited Content

The following content is prohibited in any message transmitted through the Platform:

  • Spam: Unsolicited commercial or promotional messages
  • Phishing: Messages designed to capture credentials, financial information, or personal data through deception
  • Malware: Attachments or links containing viruses, ransomware, spyware, or any harmful code
  • Illegal Content: Material that violates federal, state, or local law
  • Defamatory or Harassing Content: Messages that harass, threaten, or defame any individual
  • IP Infringement: Unauthorized use of copyrighted material, trademarks, or trade secrets
  • Deceptive Subject Lines: Subject lines that misrepresent the content or sender of the message
  • Adult or Violent Content: Sexually explicit, graphically violent, or otherwise offensive material

6. Email Authentication Standards

All outbound email from the Platform is authenticated using:

  • SPF (Sender Policy Framework): DNS TXT record authorizing Mailgun's sending infrastructure
  • DKIM (DomainKeys Identified Mail): 2048-bit key signing for every outbound message
  • DMARC (Domain-based Message Authentication, Reporting, and Conformance): Enforced at p=reject, ensuring that any unauthenticated message claiming to be from our domain is rejected by the receiving server

These protocols are mandatory and cannot be disabled by any user of the Platform.

7. Monitoring & Reporting

GracyRein actively monitors all outbound traffic using:

  • Automated Tracking: Delivery, bounce, complaint, and open rates monitored in real time
  • Content Scanning: Outbound messages are scanned for prohibited content patterns before delivery
  • Volume Anomaly Detection: Per-account volume is baselined; spikes exceeding 2× the rolling average are flagged for manual review
  • Template Change Monitoring: All template modifications require Admin approval and are logged in the audit trail
  • Periodic Review: Monthly compliance review of sending patterns, bounce trends, and complaint trends

8. Enforcement

Violations of this AUP may result in one or more of the following actions, at GracyRein's sole discretion:

  • Warning: Written notice of the violation and required corrective actions
  • Rate Limiting: Temporary reduction in sending capacity
  • Suspension: Immediate suspension of sending privileges pending investigation
  • Termination: Permanent termination of the account without refund
  • Reporting: Notification to ISPs, blacklist operators, law enforcement, and relevant authorities where warranted
  • Legal Action: Pursuit of damages, injunctive relief, or other legal remedies

9. Client Responsibility

Each Client is responsible for:

  • Ensuring that all recipients have a legitimate business relationship and valid consent
  • Maintaining accurate and up-to-date recipient data
  • Promptly honoring notification-preference requests from their guests and owners
  • Training their staff on acceptable email practices
  • Cooperating fully with any GracyRein investigation into sending complaints
  • Complying with all applicable laws governing electronic communications (CAN-SPAM, CASL, GDPR, and local equivalents)
